STC Requirements for Posters, Flyers and Digital Signage

These guidelines provide direction for displaying posters, flyers, signs and electronic images on property controlled by Southeast Technical College (STC) to ensure materials are used effectively, fairly and responsibly while maintaining STC’s aesthetics and branding standards.

Southeast Tech respects the privacy of its students, employees and stakeholders, and therefore adheres to a set of guidelines regarding the distribution of information. Information may be posted on bulletin boards or digital campus signage if:

  • It is done by a recognized academic department, campus office, student organization or club, or
  • It advertises a nonprofit benefit at no cost to students, or
  • It promotes an educational opportunity in line with the mission of STC, or
  • It is an event receiving special permission from the Student Engagement Coordinator or the Administration of STC.

Any job postings will be directed to the Career Connections job board for approval by the Career Services Coordinator

Content

The following information must be included on any poster, flyer, sign or electronic image displayed at STC:

  • Name of the sponsoring academic department, campus office, student organization or club
  • Title and applicable description
  • Date
  • Time
  • Location
  • Sponsoring academic department, campus office, student organization or club contact information (STC email address and/or STC phone number)

Size

Poster size may not exceed 11 x 17 inches, to be conscious of space for other postings.

Approval Process

  1. Submit for Approval

    Bring your poster or flyer to the Student Success Center to be approved by the Student Engagement Coordinator or their designee. The Student Success Center is located in the George S. Mickleson Center.

    Any printed or electronic images, logos, or other items falling subject to STC’s Brand Identity Standards must be reviewed by the Marketing Office.

  2. Get Stamped

    If the content guidelines have been met, the posters or flyers will be stamped with a date indicating the length of time the item can be displayed for.

    After receiving approval, a poster cannot be altered in any way.

  3. Distribute Information

    Posters and flyers may be hung on designated boards across campus. Please contact the Student Engagement Coordinator for a list.

  4. Remove by expiration date

    Most items will be pre-approved for display for up to one month prior to the event date and must be removed within 24 hours after the conclusion of the event, or by the date stamped on the posting. 

    Outdated and unapproved items items will be removed without notice.

Locations

Common Area Bulletin Boards

Printed material such as posters or flyers may be only posted on designated bulletin boards in common areas using push pins or thumb tacks. A printed notification will be placed in all allowable areas. A list of eligible locations may be obtained from the Student Engagement Coordinator.

To reduce waste and limit printing, academic departments, campus offices and student organizations or clubs are encouraged to print only the minimum number of posters or flyers needed.

Academic Department Bulletin Boards

Boards, cork strips and spaces in proximity to an academic department or campus office are intended to be utilized by that department or office to display materials relevant to its programs and offerings, or to advance educational and career opportunities for students.

Bathrooms

Bathroom areas have poster holders installed that are dedicated for STC use. All items must be posted by the Marketing Office or their designee.

Exterior Doors

No flyers, posters or signs may be hung on front entrances of campus buildings with the exception of notices pertaining to general operations, campus closures or safety and security procedures. All items must be approved by the Marketing Office or STC Administration.

Interior Doors

Short-notice signage, such as to communicate a class being cancelled, may be appropriate to post on classroom or lab doors. The person who hangs the poster is responsible for using an adhesive that does not damage the surface, to ensure the poster is removed in a timely manner, and to remove all adhesive upon removal of the poster.

Digital Campus Signage

STC's digital signage system displays upcoming events and resources created by academic departments, campus offices, and student organizations or clubs. Contact the Marketing Office or complete the Marketing Request Form on myTech to request digital signage.

Tabletops

Information displayed on tabletops in common areas, lounge areas or other study spaces must be a table tent.

Information is not allowed on the tabletops of the common areas, lounge areas or study spaces without prior approval from the Student Engagement Coordinator or their designee.

Restrictions

Posters may not be placed on other campus spaces, including but not limited to doors, windows, hallways, stairwells, elevators, trash cans, light posts, telephone poles, or on any vehicle in a parking lot.

Thumbtacks or push pins must be used to hang posters on bulletin boards, not glue, staples, tape or other damaging materials.

Definitions

  • STC defines a "poster" or "flyer" as any form of print publicity that is displayed in a public area.
    • Poster - Single sheet of paper or poster that does not exceed 11” x 17”
    • Flyer - Single 8.5” by 11” sheet of paper.
  • Bulletin Board - may include a framed cork board, a cork strip, or another space dedicated to conveying information to the campus community.
  • Digital Signage – Electronic images and messaging placed on TV monitors across campus.
  • Table tent a small, self-standing sign, typically made of cardstock, used to display information or promote products, services or events.
